How to choose the best printer for your business?

Classic monochrome laser printers are always in high demand, but maybe your business needs a color inkjet, solid ink or LED single or multifunction printer?

How do you plan to choose a business printer that best suits the functionality? By price?

We recommend that you approach your choice not in terms of how much you can spend, but in terms of what features you need and whether the printing system may need to scale. Do not forget about the nuances associated with the cost of consumables to make sure that not only the purchase was profitable, but also the ownership of the device in the long run.

The cheapest printer

Of course, when choosing, many take the path of least resistance and look for the “cheapest printer” without realizing that the cost of the device and the cost of owning the device are two big differences.

The business model of many office equipment manufacturers is the same: the cheaper a good printer costs, the more expensive it will cost to operate. Service, replacement of spare parts, consumables will be much higher than other similar models. And the only one who can benefit from such a purchase is the one who rarely prints, which means saving on consumables and replacement parts.

Therefore, before buying an inexpensive printer, ask how many consumables are enough and how often you will have to buy them in addition with your print volume.

Inkjet, laser, solid ink – what to choose?

The choice of a printing machine in terms of speed and printing technology is becoming more and more problematic, because the range in the middle A3-A4 segment is huge. If you don’t print anything out of the ordinary, any printer, be it laser or LED, will do. And consumables for them are the cheapest.

If we talk about jets, then they are chosen for a number of reasons. For example, when you need to print something more complex than tables, regular invoices with a logo. Not many inkjet printers can compete with laser models in terms of speed-print quality-price ratio, but they are much wider in functionality. Inkjet printers print on canvas, special paper for stickers and decals, as well as discs (some areas still require printing on CDs and DVDs).

As for solid inks, this is a Xerox technology that melts wax blocks of ink and then squirts liquid through tiny holes in the print head onto the paper. Such printers have a more beneficial effect on the environment, as they do not use plastic packaging.

In terms of print quality, they are similar to laser and LED models. This technology is worth considering as an alternative for a small office or department that needs something faster than an inkjet but less complex than a color laser or LED printer.

Selectable by print volume

How many documents do you print daily? Tens, hundreds, thousands? How many people will use the printer together – one, five, a large department of 30 people?

The final choice of model is not easy, but we can say for sure: if you (and your colleagues or subordinates) plan to print more than a few dozen pages a day, do not take a simple single-functional model recommended for personal (home) use. The machine will be slow, without additional convenient functionality (duplex, automatic feeder, etc.).

If several people will print on the printer, then it makes sense to consider models with the ability to print via mobile, via wi-fi and Ethernet. But here again, there is a catch: network printing is suitable for small office groups, as sharing slows down the work process.

If you want to choose a printer that definitely won’t be a hassle, first estimate how many documents per day you print, and then choose a printing machine for which this number will be recommended in work, and not the maximum (because this means how much stress the machine can handle one-time, but not on a regular basis).

What speed do you need?

The expected print volume helps you determine what printer speed is right for you. We can talk about the speed characteristics like this:

Up to 20 ppm is slow.
20-30 ppm – ideal for most offices.
Over 40 ppm – For large offices or workgroups with heavy streaming workloads.

We also note the importance of having a large amount of RAM: the more memory, the faster images and large documents are processed.

Paper tray capacity

Typically, printers are equipped with 250-sheet trays. The scalable part, i.e. installing an optional larger tray. If you plan to use different types of paper (for example, A3, A4, envelopes) – immediately pay attention to those printers where you can connect one tray for one type of paper. This will avoid problems with jams, etc.

We also recommend that you consider devices with automatic two-sided printing – duplex. Their cost is more expensive, but the benefits are many times greater. First of all – a significant savings in paper.

Printer or MFP?

If your job consists entirely of printing, you may not need an MFP (multifunctional device with the function of a printer, scanner, copier). But if you plan to digitize documents and share them over the network, the only way to do this is to purchase an MFP.

About multifunction devices, we need to say the following: we know that office equipment manufacturers highly recommend MFPs for offices, but think about the fact that if the printer breaks, you just call a service engineer, continuing to scan and copy through separate devices.
